One sale from the quote to the money in, with nothing typed twice

4 min read

In many trading companies a sale is typed four times: quote, order, delivery note, invoice. Follow one real sale end to end in quote to invoice software.

Follow one sale through a trading company without quote to invoice software and count how often it is typed. The quote is written in one place. When the customer agrees, the order is written again. The warehouse writes a delivery note from the order, often by hand. Then the office types the invoice from the delivery note. Every copy is a chance to change a price, forget a discount or invoice what was not delivered.

Each copy drifts a little from the one before. A discount agreed on the quote is missing on the invoice. A line written by hand on the delivery note for two bags returned never reaches the office. A quote valid for fifteen days is invoiced at today’s price list. Each slip is small. Together they are why the end of the month takes days and why customers question invoices. Nobody is at fault. The slips come from typing the same sale four times.

Each document made from the one before

Each document can be made from the one before it, with only what changes touched. Take a contractor who asks for four pallets of red bricks, sixty bags of cement, thirty rebar bars and a delivery to site. The contractor has its own price list, with a fixed price per brick from a thousand bricks, 8 % off cement from forty bags and 5 % off rebar. The customer is attached to that list, so the quote picks those prices up by itself.

The contractor’s buyer opens the quote from a link, reads it and accepts it by typing their name. The quote is then turned into an order in one step, and the stock it needs is reserved, so the same bricks cannot be promised to someone else.

On delivery day only three of the four pallets go out. The delivery note is made from the order with the three pallets, and the fourth stays on order, visible and waiting. Nobody has to remember it. The invoice is then made from the delivery note, so it bills exactly what left the yard.

The invoice and what corrects it

The same chain holds when goods come back. A return is recorded against the delivery it came from, and the credit note refers to the invoice it corrects. The stock goes back up and the customer’s balance goes down in one step, with nothing typed twice.

The contractor’s invoice has four lines: three pallets of bricks at the contractor’s price, sixty bags of cement with the 8 % discount, thirty bars with the 5 % discount, and the delivery. Before tax it comes to 870.00 + 540.96 + 319.20 + 120.00 = 1850.16. The discounts come straight from the quote, and nobody types them again.

Once issued, the invoice is never edited. It has its number in date order and a fingerprint that links it to the one before. If something was wrong, a credit note corrects it and refers to it, so the history stays readable for the customer and for the accountant.

The chain keeps working after the invoice

For the customer, the chain means the documents agree with each other. The quantities on the invoice are the ones on the delivery note the site received, and the prices are the ones on the quote the buyer accepted. Documents that agree get paid with fewer questions, and the customer’s own accountant can match them without calling the yard.

A chain also answers the questions that come later. When a contractor calls about an invoice, the office opens it and follows it back: the delivery note that left the yard, the order it came from, and the quote the contractor accepted, with the name typed and the date. The whole answer is on the screen.

Money follows the same chain. The contractor had paid a down payment when the order was confirmed, and it settles the invoice by itself. The rest arrives in two parts, a cheque and a bill of exchange due later, each set against the invoice. The customer’s balance updates on its own, and the credit limit counts the cheque until the bank has cleared it. Had this order taken the contractor over its credit limit, it would have stopped before confirmation, unless someone with the right to do so allowed it.

The accountant reads the same chain from the other end. Every invoice has its delivery behind it and its payments against it, so a balance that looks wrong can be traced line by line. Where invoices must also go to a tax platform, the customer’s legal details have travelled with the sale since the quote, so the invoice is not the first place they are typed.

Test the software on one sale

When you look at software for this, ask to follow one sale in the demo from the quote to the payment, and watch whether anything is typed twice. Ask what happens when only part of an order is delivered, when goods come back, and when an invoice is wrong. The answers show whether the documents form one chain or four separate forms that only look alike.

The team keeps its way of working and stops making copies. This is how sahmrev Commerce works for trading companies, building-material yards and wholesalers. The building materials page shows a delivery to site, the Commerce page shows the documents at real size, and the live demo holds this very sale, from the quote to the payments.

Common questions

Why should the invoice come from the delivery note and not from the order?
Because the delivery note says what really left. An invoice made from it bills what was delivered, and what is still on order stays visible until it goes out.
Can an issued invoice be changed?
No. It keeps its number and its content. A mistake is corrected with a credit note that refers to it, so the history stays readable.
What happens when only part of an order is delivered?
The delivery note takes what leaves, and the rest stays on the order, waiting. The invoice can come from one delivery or from several.
Does the chain help with e-invoicing?
The customer’s legal details are on the documents from the quote on, so they are already there when an invoice must also go to a tax platform.
