Take the yard off paper.

Replace paper and Excel for building materials and, if the yard still runs on paper or spreadsheets, stop counting bags in a notebook or pricing contractors from a spreadsheet. Each product then has one stock, in the right units.

What paper costs you each month

  • Bags and pallets are counted separately, so the stock is only right on the day of the count.
  • Price sheets are edited line by line when cement or steel goes up, and a contractor gets quoted at last week’s price.
  • Delivery notes are written by hand on the truck, and the site name is missing when the contractor asks where the goods went.
  • The driver remembers the partial deliveries, and the rest of an order is forgotten until the site calls.
  • Cheques and bills sit in a drawer, and you find a contractor over the limit only when a cheque comes back.

Sell by bag, pallet or tonne

  • Each product has one stock in its base unit, and bags, pallets, tonnes and boxes are packs of it.
  • When cement or steel moves, you move a whole category by a percentage, round it and save once. The new price sheet goes out in PDF or Excel.
  • Every quote, order, delivery note and invoice carries the site name, and the delivery note shows the vehicle and the driver.
  • Contractors keep their own price list, and orders reserve their stock until it leaves.
  • Cash, transfers, cheques and bills are set against each invoice. Credit limits count cheques not yet cleared, and receivables by age show who is late.

How you move off paper

  1. Send your lists

Your products, customers, suppliers, opening stock and price list come in from Excel.

  2. Get a workspace for your trade

The workspace starts with the products, units, documents and rules of your trade.

  3. Train the team

The first session is with the people who sell, buy and deliver.

  4. Start with one order

The next order goes through the software from the quote to the invoice.
